Job Description
MAIN PURPOSE OF THE COMPANY
- Our Consultant Support team members are responsible for supporting the wider team in all matters relating to UK Visas and Immigration (UKVI). This includes supporting with visa application forms, preparing legal submissions, and providing any other necessary ad hoc administrative support to the immigration team
- Using a range of software (including Microsoft Excel, Access, Word, and Outlook), our consultant support will help with reporting across multiple aspects of the business and be eager to learn about and help with running our internal software and databases
- Reporting into the Office Manager, the role will also encompass a variety of tasks relating to the general running of a busy office including varied reception and office tasks as and when appropriate
PRINCIPAL RESPONSIBILITIES & ACTIVITIES:
- Greeting all visitors politely and in a timely manner, always providing excellent customer service
- Booking and maintaining meeting rooms ensuring all visitors are recorded as per internal processes
- Managing post; booking and tracking couriers and deliveries, ensuring all in and out post are recorded on the relevant spreadsheets
- Answering phones in a timely manner, obtaining the necessary information from callers to pass on to Immigration Consultants as appropriate and passing on new business enquiries
- Managing the electronic filing systems ensuring all immigration files and documentation are scanned and saved to the correct shared drive folder/the database and communicating this back to the appropriate consultants
- Assisting with e-file opening; communicating case progress as necessary and ensuring all assigned deadlines are met
- Completing the appropriate online and paper government application documents as and when requested from the team
- Assisting with the preparation of application packs for submission in and out of country as and when requested
- Keeping up to date with the latest immigration information and matters
- Supporting the wider team with appropriate reporting for areas across the business
- Supporting the maintenance and reporting of key data on UKVI systems as required by Tier 4 sponsor guidance
- Working collaboratively with the wider team to ensure immigration compliance, providing support where appropriate
- Supporting the team with the effective and timely delivery of UKVI sponsor license applications and renewals including Basic Compliance assessments (BCA), Confirmation of Acceptance for studies (CAS) and Certificate of Sponsorship (CoS)
- Ensuring accurate and timely student reporting on the Home Office Sponsor Management System (SMS)
- Liaising with IT to obtain SMS logins and school database access when required to support newly signed clients to set up their Tier 4 license when wanting to add the company as a representative
- Manage the master spreadsheet data (and future technology) relating to the CAS export, downloading CAS for each case to save on relevant systems when a new client comes onboard
- Being proactive in terms of the general management of UKVI client compliance
- Supporting the wider team with the use of our internal system ensuring it is updated accurately and timely, including initiating cases, adding government and management fees where relevant to assist in the creation of invoices and documenting updates on cases
- Undertaking any other appropriate duties as and when the required by the company
- Work with Finance to ensure consistent and prompt raising of invoices and reviewing billing and debt reporting with appropriate management
